Tracking Referral Sources

A source is anything (or anyone) you want to credit for sending you a referral — a partner business, an individual referrer, a specific professional, a QR code on a flyer, or just "people who found us directly." Every referral that comes through your form is tagged with the source it came from, so you can see which sources are actually converting.

Adding a source

  1. Go to Organization → Sources.
  2. Click Add Source.
  3. Search for an existing source by name, or start typing a new name and click Add new "…".
  4. Pick a source type:
    • Organization NOT participating in ARA — a business sending you referrals that isn't an ARA customer itself.
    • Individual Referrer — a person, like a family friend or repeat customer.
    • A specific Professional — a named doctor, contractor, etc.
    • Something else — anything that doesn't fit the above.
  5. Click Create.

Once added, the source shows up as a card with its own trackable link and QR code.

Sharing a source's link

Each source card has:

  • Open Referral Link — opens your live referral form, pre-tagged with that source.
  • Copy Referral Link — copies the same URL to your clipboard so you can paste it into an email, text, or partner's website.
  • QR — toggles a scannable QR code for the same link (handy for printed flyers, business cards, or in-office signage). You can download the QR as a PNG.
  • Pie — toggles a chart showing how that source's referrals have resolved: scheduled (green), unscheduled (red), or still undetermined (gray).

Stopping tracking

Click Stop Tracking on a source card if you no longer want new referrals attributed to it. This does not delete any past referrals or disable any QR codes/NFC cards already printed — scans will still work, but new submissions from that link will need the source re-added if you want to track it again.

Searching and filtering

Use the search box to filter sources by name. Toggle Hide all unpopulated sources to hide sources that haven't received any referrals yet — useful once you've accumulated a long list.
